Billing Manager

Job Summary

The Billing Manager oversees, manages and coordinates daily operations of billing, balancing, refunds and collections for assigned client(s) while promoting positive relationships with the client(s).   

The individual in the position is responsible for day-to-day staff management, including offshore vendor working on their accounts.  They will engage with and monitor client and team performance, while identifying and recommending improvement to maximize recoveries and improve workflow efficiencies.   

The Manager is a key member of the management team, working with other leaders to cultivate a collaborate culture within the organization while encouraging high performance in all areas.   

Duties/Responsibilities:

  • Fosters positive client relationships with regular communications regarding performance and responding to inquiries.
  • Responsible for RCM monthly meeting communication including and facilitation regarding operational performance, reporting and operational meeting cadence.
  • Responsible to assure client specific standard operating procedures (SOPs) are developed to streamline workflows ensuring consistency and quality processes, while maximizing technology, productivity and performance.
  • Identifies key areas of process improvement and recommends methods of modification, implements approved changes.
  • Designs, communicates and implements new approaches to reporting, policies, and SOPs, to increase reporting accuracy and influence continuous improvements in operation efficiency. 
  • Gathers, analyzes and evaluates the results of billing operations regularly, makes adjustments to performance needs and shares with the Director of Revenue Cycle Management.
  • Reviews monthly reports, identifies problem areas if any, compares performance to industry standards as available and communicates trends to Director and client as directed. 
  • Ensures that quality of work is maintained and that compliance policies and procedures are followed through billing operations. 
  • Prepares agendas, reporting and supporting documents for client meetings in collaboration with the Director.
  • Oversees and manages day-to-day vendor activity through established workflow, continuous communications including new processes, changes, projects and issues.
  • Oversees operational metrics for both internal and external results including:
    1. Cash flow and balancing
    2. Aging
    3. Credit balances and collections
    4. Rework targets
    5. Log resolution
    6. Adjustments
    7. Patient Team emails
  • Other duties as may be assigned.

Required Skills/Attributes:

  1. Directly manages billing supervisors and staff level team members. 
  2. Responsible for day-to-day direction, and coordination of the billing operations department.  
  3. Carries out responsibilities in accordance with the organization’s policies and applicable laws. 
  4. Assists supervisors with all aspects of employee development.  
  5. Mentors supervisors on the planning and assigning of work as well as training and development of their team members.

Education and Experience:

  • Associate’s Degree in Business Administration or related field preferred
  • Minimum of 3 year’s billing experience 
  • Bachelor’s degree and relevant leadership experience is required in lieu of billing experience
  • Computer savvy with Microsoft Office suite of products, Excel, Word, PowerPoint and Outlook in addition to excellent 10 key and mathematical skills
  • Knowledge of insurance submittal procedures and medical forms (including UB92 and HCFA 1500) and physician reimbursement preferred
  • Previous experience working with AthenaOne, Athena (GE) Centricity and NextGen billing systems preferred
  • Proficient with a variety of billing and medical terminology
  • Skillful in responding to inquiries and complaints from clients

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds
