5 reports that you can run to monitor your medical practice

Running a successful medical practice requires more than providing excellent patient care. It demands careful monitoring and analysis of various aspects of your operations. Reports are a great data-driven means of benchmarking the performance of specific processes or functions within your medical practice.

In one of our past blogs, we delved into the end-of-year reports you should run in your practice. We’re shifting our focus to the reports you should run regularly in 2025 to keep a pulse on your practice’s ongoing performance.

By consistently monitoring these key areas, you can ensure operational efficiency, financial health, and compliance, ultimately enhancing the quality of care you provide to your patients.

Five essential reports every medical practice should run

1. Accounts Receivable (AR) Aging Report

The AR Aging Report is crucial for understanding the health of your receivables. It categorizes unpaid patient invoices and insurance claims by age, typically in 30-day increments. This helps you identify overdue accounts and take necessary actions to collect outstanding payments.

When running this report, you should look for the total outstanding balances, the percentage of receivables in each aging category (30, 60, 90, 120+ days), and trends in overdue payments.

To take action, follow up promptly on overdue accounts, review and optimize your billing processes to reduce delays, and consider implementing automated reminders for patients and insurance companies. Read more about this in our blog How to reduce your Days in AR.

2. Revenue Cycle Management (RCM) Report

RCM reports provide a comprehensive view of your practice’s revenue cycle, from patient scheduling and billing to payment collections. They help you track the efficiency of your billing processes and identify potential bottlenecks.

Key metrics include charge entry lag times, claim submission and denial rates, and payment posting turnaround times. To improve your revenue cycle, streamline billing workflows to reduce charge entry and submission delays, analyze denial reasons and address recurring issues, and train staff on best practices for prompt and accurate payment posting.

3. Patient Visit and Volume Report

This report tracks patient visits over a specific period, providing insights into practice growth, patient retention, and appointment scheduling efficiency. It’s a valuable tool for capacity planning and resource allocation. Essential monitoring aspects are:

  • Monthly and quarterly visit trends
  • No-show and cancellation rates
  • Peak visit times
  • Patient demographics

To optimize patient visits, implement strategies to reduce no-shows, such as appointment reminders, adjust staffing levels to match peak visit times, and enhance patient engagement to improve retention rates.

4. Financial Performance Report

Monitoring your practice’s financial performance is essential for maintaining profitability. This report provides a detailed overview of your income, expenses, and net revenue, helping you make informed financial decisions. Focus on total revenue and expenses, profit margins and net income, and cost breakdown by category (e.g., payroll, supplies, utilities).

To ensure financial health, identify and control unnecessary expenses, explore opportunities to increase revenue, such as offering new services, and regularly review and adjust your budget.

5. Compliance and Audit Report

Ensuring compliance with healthcare regulations and payer policies is critical to avoiding penalties and maintaining the integrity of your practice. Compliance and audit reports help you monitor adherence to coding, documentation, and billing standards. Key points to check are the accuracy of coding and documentation, the frequency and reasons for audits, and compliance with payer policies and regulatory requirements.

To maintain compliance, conduct regular internal audits to identify and correct issues, provide ongoing training for staff on regulatory updates and coding practices, and implement robust documentation and coding policies to minimize errors.
